Guides › Services vs software cost
On a 2,000-page record, per-page and per-case medical record review software costs about $45 to $200 per file at published rates, while human review services cost about $200 to $5,000. The gap grows with file size. Software still needs a person to check its output, so the fair comparison adds that checking time to the software bill.
Mostly yes. On 2,000 and 10,000-page files, every software line costs the same as or less than the cheapest service line, and Medrecords AI at list costs 9 to 25 times less than a per-page service. On a 500-page file, a $15-an-hour service ($50 to $100) can undercut the higher per-case prices, though not Chronos at $49. Clinical opinion stays with a licensed person either way.
That answer holds only if you count the full cost on each side. A service price includes the reading and usually a nurse or physician's judgment. A software price covers the drafting and machine checks; your team supplies the judgment. The number that matters is the cost per record after a qualified person signs off, because that signed record is what goes into the demand, the deposition outline or the IME report.
We priced 3 file sizes, 500, 2,000 and 10,000 pages, across 4 pricing models, using only prices published on vendor pages and captured on 2026-10-23. Every assumption is listed here so you can replace it with your own numbers.
Software costs $11.75 to $199 on a 500-page file and $11.75 to $1,000 on a 10,000-page file. The low ends are seat plans that leave the reading to your staff; per-page and per-case lines alone run $25 to $199 and $49 to $1,000. Human review costs $50 to $1,250 on the small file and $1,000 to $25,000 on the large one. The table shows every line.
| Model and vendor | Rate as published | 500 pages | 2,000 pages | 10,000 pages |
|---|---|---|---|---|
| Per page: Medrecords AI list | 10¢ per deduplicated page | $50 | $200 | $1,000 |
| Per page: Medrecords AI at the 5¢ volume rate | 5¢ per deduplicated page | $25 | $100 | $500 |
| Per page plus base: CaseMark Medical Summaries | $25 + 1¢, capped at $100 | $30 | $45 | $100 |
| Per case: Chronos (reported by Superinsight) | $49 per case, 5-case pack | $49 | $49 | $49 |
| Per credit: Superinsight | $80 per credit, about 2 credits per report (vendor average, estimate) | $160 | $160 | $160 |
| Per case: Legalyze | $199 per case (sale price) | $199 | $199 | $199 |
| Per seat: Hathr.AI | $47 per user per month / 4 files | $11.75 + staff time | $11.75 + staff time | $11.75 + staff time |
| Per seat: Casefleet Advanced AI | $140 per user per month / 4 files | $35 + staff time | $35 + staff time | $35 + staff time |
| Hourly: RRR Health Tech | $15 per hour | $50 to $100 | $200 to $400 | $1,000 to $2,000 |
| Hourly: High Rock Experts | $50 per hour | $167 to $333 | $667 to $1,333 | $3,333 to $6,667 |
| Hourly: in-house paralegal | $37 to $40 per hour loaded | $123 to $267 | $493 to $1,067 | $2,467 to $5,333 |
| Per page: human review service | $0.90 to $2.50 per page | $450 to $1,250 | $1,800 to $5,000 | $9,000 to $25,000 |
At 1 hour per 1,000 pages and $41 an hour, add $20.50 to a 500-page software line, $82 to a 2,000-page line and $410 to a 10,000-page line.
| Option | 500 pages | 2,000 pages | 10,000 pages |
|---|---|---|---|
| Medrecords AI list + checking | $50 + $20.50 = $70.50 | $200 + $82 = $282 | $1,000 + $410 = $1,410 |
| Chronos per case + checking | $49 + $20.50 = $69.50 | $49 + $82 = $131 | $49 + $410 = $459 |
| CaseMark capped + checking | $30 + $20.50 = $50.50 | $45 + $82 = $127 | $100 + $410 = $510 |
| RRR Health Tech at $15 an hour | $50 to $100 | $200 to $400 | $1,000 to $2,000 |
| High Rock Experts at $50 an hour | $167 to $333 | $667 to $1,333 | $3,333 to $6,667 |
| Per-page human service | $450 to $1,250 | $1,800 to $5,000 | $9,000 to $25,000 |
With checking added, Medrecords AI at list beats every $50-an-hour, in-house paralegal and per-page service line on all 3 files. RRR Health Tech's $15 rate overlaps it on every size: $200 to $400 against $282 on 2,000 pages. RRR prices chronologies and summaries at that rate and charges $35 an hour for a medical opinion, so compare like for like.
Hathr.AI describes its product as a workspace where your own staff build cited chronologies and summaries. Its own worksheet compares 6 productions of 3,000 pages at a $1.00 per page service rate plus $150 per follow-up request ($21,600 in total) against 3 seats ($141). The software saving is real, but the reading hours move to your team, so price them in.
A service makes sense when you need a signed clinical opinion, an expert to testify, or a nurse's narrative commentary that you cannot write yourself. Software drafts and cites; it does not hold a license or sign a report. Budget a service for those deliverables.
The published rates reflect that split. RRR Health Tech charges $15 an hour for chronologies and summaries but $35 an hour for expert medical opinion. Superinsight's comparison table lists nurse reviewer companies at $300 to $1,500 or more per case with 3 to 7 business days of turnaround, and offshore vendors at $100 to $1,000 per case with 5 to 10 business days.
The cheapest setup we see is a hybrid. Software builds the cited chronology in minutes, and the nurse or physician spends their billed hours on judgment instead of reading. On a 2,000-page file, a $50-an-hour expert reading at 150 pages an hour needs about 13 hours. Cut that to 2 hours of review on cited output and the expert saves 11 hours x $50 = $550; subtract $200 of software at 10¢ and the net saving is $350 before the opinion is written. The expert also walks into the deposition with a page cite behind every fact in the report. For the staffing side of this choice, read in-house vs outsourced medical record review.
Flat per-case pricing beats per-page pricing on large files. At 10¢ a page, a $49 case price is cheaper on any file over 490 pages. At 5¢, the break-even is 980 pages. If most of your files are 5,000 pages or more, a flat case price or a capped page rate will usually cost less on the software line.
We publish a per-page rate, so this is the honest caveat. Per-page pricing wins when file sizes vary, when many files are small, and when you need more than 1 output per file. It loses on raw cost per file when your files are consistently huge.
Before you pick a flat case price, check 3 things:
Multiply your average deduplicated page count by the per-page rate, or divide a case, credit or seat price by the files it covers, then add your checking hours at your loaded staff rate. Do it for your smallest, typical and largest file of the last quarter.
You can run the per-page side in the medical record review cost calculator.
"I have 12 (AI medical record review vendors) down here. And of them, this is the one I'm choosing to go with. Number one is the quality of the product. The second is that the cost makes sense."
Medrecords AI costs 10¢ per deduplicated page, 5¢ per page at volume. At 10¢, a 500-page record is $50, a 2,000-page record is $200 and a 10,000-page record is $1,000; at 5¢ those halve to $25, $100 and $500. Exact duplicates are never billed, which changes the math on real productions: a 2,000-page production with 150 exact duplicates bills 1,850 pages, or $185 at 10¢. There is no subscription, seat fee or setup fee, and credits never expire.
Every plan includes all 86 capabilities: OCR, deduplication, chronology, record Q&A, missing-records detection, summaries, billing summaries, demand packages, IME reports, Bates numbering, redaction and hyperlinked exports. Every output line cites its source page, and every page goes through 2-layer machine verification. Processing runs at about 100 pages a minute.
Records come in through the upload portal, SFTP or the API, with MFA, per-matter role access and activity logs. Medrecords AI holds SOC 2 and HIPAA controls, signs a BAA at signup and offers a DPA. Customer records never train a model, as a contract term in the BAA. See security and HIPAA-compliant AI medical record review. For programs that need everything inside their own network, Enterprise On-Prem is an annual license plus a deployment fee, quoted on a call.
Choose software for the reading and a person for the judgment. Software plus checking time costs less than every $50-an-hour, in-house and per-page service line on all 3 file sizes we priced; only a $15-an-hour chronology service comes close. Pay a service for the parts that need a license or a signature.

Yes, at published rates captured on 2026-10-23. A 2,000-page file costs $45 to $200 in per-page or per-case software (seat plans excluded) and $200 to $5,000 from hourly or per-page human services. Add your checking time to the software line for a fair comparison. Services still make sense when you need a signed clinical opinion.
It depends on the pricing model. Hourly services published $15 to $50 an hour, which is $200 to $1,333 on a 2,000-page file at 75 to 150 pages an hour. Per-page services run $0.90 to $2.50 a page by one provider's account. Nurse reviewer companies quote $300 to $1,500 or more per case.
Published AI prices captured on 2026-10-23 run from 1¢ to 10¢ per page, $49 to $199 per case, or $47 to $140 per user per month. A 2,000-page file costs $45 at CaseMark Medical Summaries, $49 at Chronos, $200 at the Medrecords AI list rate and $199 at Legalyze's sale price.
Per-case pricing is cheaper on big files and per-page pricing is cheaper on small ones. A $49 case price beats 10¢ a page once a file passes 490 pages. Per-page pricing wins when file sizes vary, when many files are small, or when the case price excludes outputs you need.
You need a qualified person to check and sign off on the work, and a nurse or physician if the deliverable is a clinical opinion. Software reads and cites. Your team reviews, revises and signs. AI does the reading and helps you make the call. The last word is yours.
Include duplicate pages billed as new, base fees, pack minimums, credits that expire, seat fees in quiet months, staff hours for tools that expect you to build the chronology, checking time, follow-up request fees and turnaround delays. Hathr.AI's own worksheet adds $150 per follow-up request to a service bill.
Software processes a file in minutes. Medrecords AI handles about 100 pages a minute, so a 2,000-page file is ready in about 20 minutes. RRR Health Tech publishes a standard turnaround of 48 to 72 hours, and Superinsight's table lists 3 to 7 business days for nurse reviewer companies and 5 to 10 for offshore vendors.
