Add records to an existing case in Medrecords AI

You can add new records to a case in Medrecords AI once the case has finished processing. Open the case, find the Files card and press Add files. New pages cost 1 credit each. If the case already has a report, the app also updates the report for 50 credits. You see the total before you upload.

Before you begin

  • The case must be finished. While it is still processing, the button is greyed out and says "Files can be added once the case is complete".
  • Only the owner of the case can add files. Cases are private to the person who created them.
  • Your email address must be confirmed.

Steps

  1. Open the case.
  2. On the Files card, press Add files.
  3. Drag your files or folders into the box. Or press Choose files or Choose a folder.
  4. Check the 3 switches. They are explained below.
  5. Read the Credits for this upload box. It shows the total and your balance.
  6. Press Upload. The files show as "Queued for processing".

The same file types work here as in a new case: PDF, Word, DICOM, PNG, JPG, TXT and MD. ZIP files are unpacked for you. See which files you can upload.

The 3 switches

SwitchWhat it does
Remove duplicate pagesTakes out repeated pages before they are read, and gives back their credits. When off, every page is read and charged.
Strip record-retrieval cover pagesLeaves out the order sheets that record services add.
Strip custodian certification pagesLeaves out custodian affidavits and certificates.

These settings apply to this upload and every run after it.

What it costs

ItemCredits
Each new page1
Updating an existing report50, only if the case has a report

Chronology-only cases have no report, so you pay only for the pages. If your balance is too low, the box says how many credits you need and shows a Buy credits button.

Duplicates

The app compares each new file with the files already in the case. If a file has the same content as one you uploaded before, the app refuses it before any charge. It tells you which old file it matches, even if the names differ. Remove that file from your selection and try again.

At the end, the app may also show notes such as "duplicate files skipped" or "unsupported files left out". Those files were not charged.

What happens after you upload

  1. The case goes back into processing.
  2. A row called "Re-summarization Queued (New Documents)" appears on the case timeline.
  3. When the new records are read, the Confirm case details window opens again. Your earlier answers are kept, and new items carry a "new" badge.
  4. Check the new items and confirm. See confirm the case details.

Your chronology, narrative and report then include the new records.

Good habits for supplemental productions

  • Keep 1 claimant per case. Add later productions to the same case, not a new one.
  • Name files by source and date, for example "Hospital - 2024 - ER.pdf". The names show in the documents list.
  • Leave the duplicate switch on. Productions often repeat pages you already have.
