What happens while Medrecords AI processes a case?
Processing is the work Medrecords AI does between your upload and the finished chronology. It reads each page, removes duplicate pages, sorts the records into documents and builds the timeline. It stops once to ask you to confirm the case details. The status on the case tells you where it is.

The statuses
| Status | What it means | What you do |
|---|---|---|
| Queued | The case is waiting to start | Nothing, or cancel it within the first minute |
| Processing | The app is reading the records. A percent shows how far it has got | Wait. You can close the tab |
| Needs confirming | The first read is done. The app needs you to check the details | Open the case and confirm |
| Processed | The chronology and the narrative are ready | Read the case |
| Failed | Something stopped the case | Retry it, see below |
| Cancelled | You cancelled it before it started | Edit and start again when ready |
You see the status on the cases list and at the top of the case.
What the app does, in order
- Opens your files. It unpacks ZIP files and checks each file can be read. Locked or damaged files are flagged.
- Removes duplicate pages. Repeated pages are taken out and the credits for them come back. See how duplicate pages are removed.
- Reads each page. It reads typed text, scans and handwriting.
- Sorts the records. It splits the pages into documents and names each one by type, provider and date.
- Asks you to confirm. It shows the focus, body parts and key date it found. The case waits for you.
- Reviews the records against your answers. 2 rows show on the case timeline: "Case Confirmation" and "Reviewing Records Against Case Focus".
- Builds the chronology and the narrative. The status changes to Processed.
How long it takes
It depends on the number of pages and how hard they are to read. A short file is done much sooner than a large production with many handwritten notes. The percent on the cases list shows progress. You do not need to keep the page open. Come back later and the case will be where it left off.
Cancel before it starts
After you press Create case, a banner says "Processing starts in" with a countdown of about 1 minute.
- Press Cancel processing.
- Press Cancel processing again in the box that opens.
Every credit for the case comes back. The case and its files stay. Once processing starts, it can no longer be cancelled.
If a case fails
You see "This case did not finish processing."
- Open the case.
- Open the case actions menu.
- Press Retry processing.
If the retry fails too, contact us with the case name. Do not create a second copy of the case, or you pay for the pages twice. See fix a failed upload or a stuck case.
Add records later
You can add files to a finished case. New pages cost 1 credit each. If the case has a report, the app also updates it for 50 credits. You see the total before you upload. The confirm window opens again so you can update the details. See add records to an existing case.
