Can I share a case with my team in Medrecords AI?
Each case in Medrecords AI has 1 owner, and only the owner can open and change it. There is no case sharing or team seat today. To get your work to a colleague or a client, export the chronology, narrative or report as a PDF or Word file and send it.

Who can see a case
| Who | What they can do |
|---|---|
| You, the case owner | Open, change, export and delete the case |
| Other users, even at your firm | Nothing. They cannot see your cases |
| Medrecords AI staff | Read a case only when needed for support. They cannot change it, and each time they open a case it is logged |
Send your work to someone
- Open the case.
- Pick what to send: the chronology, the narrative or a report.
- Export it as a PDF or Word file.
- Send the file the way your firm sends records, such as a secure file link.
See export your work for every export option.
Your colleague does not need an account to read the file.
When a colleague needs to work on the records
Your colleague creates their own account and their own case. They upload the records they need. Their case and its credits are their own.
Keep in mind:
- Each case is charged for its own pages. Uploading the same records twice costs twice.
- Notes, flags and highlights stay in the case where they were made.
Do not share a login
Never share your sign-in, even inside your firm. HIPAA expects each person to have their own sign-in, so the record of who did what stays true. See is Medrecords AI HIPAA compliant?
Roles are not permissions
Your role, such as legal nurse consultant or attorney, sets which case types show first. It does not grant access to anyone else's cases. See set your role.
