Filter and group the documents index in Medrecords AI
The Records tab in Medrecords AI lists every record in the case, oldest first. You can switch between the documents index and the chronologies index, then filter by date, category, provider, facility and more. You can also group records under headings. Filters only change what you see. They cost nothing and change no data.

The 2 indexes
At the top of the Records tab there is a switch with 2 sides:
| Index | What it lists |
|---|---|
| Documents Index | Each record as 1 row: medical records, photos and images, DICOM studies, and other documents |
| Chronologies Index | Each dated event pulled from the records |
The number next to each name is the count. The Timeline tab has the same switch.
Records are sorted by date, oldest first. Records with no date go last. You cannot change the sort order.
Open the filters
- Open the case and go to the Records tab.
- Find the filter button next to the search box. It is a small icon with no text. Hover over it to see "Filter and group records".
- Click it. A panel opens called Filter & Group Documents.
A small dot on the button tells you a filter is on. Press Clear filters to remove them all.
Filters for documents
- Date From and Date To. Records with no date stay in the list.
- Category and Subcategory.
- Provider and Facility.
- Body part, when the records name one.
- Note flag, when you have added notes. See add flags, highlights and notes.
- Relevance, once the app has judged it.
- Transcripts only, when the case has transcripts.
- Chronology Type. "Medical" hides the legal records group. "Medical-Legal" shows both.
Group the list
Use Group By to put records under headings. For documents, you can group by category, subcategory, provider or facility. Pick No Grouping to go back to 1 list.
Filters for events
Switch to the Chronologies Index. The panel is now called Filter & Group Events. It adds:
- Event Date From and Event Date To. Events with no date are never hidden by these.
- Temporal Status, Relevance and Causation.
- Group By source file, document, provider, facility, category, subcategory or relevance.
The same provider, facility, body part and note flag filters are there too.
Tips
- Filter by provider first when you need 1 doctor's records for a deposition.
- Use a date range around the incident to see what came just before and after.
- To find a word inside the pages, use search, not filters. See search your records.
